Here is the skinny...
When - June, 28th 2013 to July 5th, 2013
Where -
KOA Campground

Detailed Campground information.
The campground is offering us a 25% discount on all reservations if you make your reservation before April 1St 2013 and a 10% discount if made on or after April 1st 2013. if you show up with no reservation then you will NOT receive a discount. So the key here is to make reservations prior to April 1st.
The campground has set up a special link for us to make online reservations. This is because they are closed for the season so getting in touch with them via the phone is a little more touch and go in the off season. Yes you can still call your reservations in but you might have to wait for them to call you back. So by using the link you can make them instantly.
http://koa.com/campgrounds/indianapolis/reserve/?code=CD
For example a 30ft 5th wheel back in site on the main portion of the campground would run 378.82 for the entire time that would be arriving on Friday June 28th and leaving Sunday July 7th. A total of 9 nights.
They also have cabins avail that go from one room (no bath or running water) to full blown cabins that have their own bathroom. All of these reservations can be made on line. I suggest that if you want a cabin you make your reservation early.
UPDATE
It has come to my attention that the online reservation system will NOT accept date ranges outside of the rally dates (June 28th - July 7th) so if you are arriving earlier or staying later than those dates then you will need to contact the campground directly via phone to make those reservations. You can if you wish make the reservations online but remove the "HOT DEAL" then call the campground to get that straightened out. But my choice would be to just call them directly if you plan on coming early or staying late.

Sites
Due to the business of the 4th of July weekend, sites can only be held until April 1, 2013. After that time, sites will be opened up to other campers and other groups. We cannot guarantee the type of site or the placement of anybody choosing to make a reservation after that date. We will accomodate those making late reservations, but the deadline needs to be communicated to your group.
*****************************************************************************
Deposit Requirements/ Cancellation Policy
The deposit is equal to the cost of the first night. Any cancellation would result in a $10 fee provided we are given a 48 hour notice. Cancellations within 48 hours forfeit the deposit. Each person in the group is responsible for making their own reservation.
*****************************************************************************
Cost
Anyone making a reservation by April 1, 2013 will receive a discount 25%. Anyone making a reservation after April 1 will receive a discount of 10%. Those arriving without reservations will not receive any discount. Due to the fact that IDI has everything from tents to 5th wheels to motorhomes, it is easier to simply offer a flat percentage off instead of trying to apply a flat rate to everybody. It is up to each person to let KOA know they are part of the IDI group.
These rates are contingent upon a minimum of 20 rigs registering and include 2 adults and 2 kids on each site. Additional adults are $5/ person and extra kids are $3.50. If somebody fails to make a reservation, there is no guarantee of the type of site they will be on and no guarantee they will be with the group.
******************************************************************************
So far we have these activities on the white board (subject to change depending upon group wants)
TRAIN RIDE - Cruise to Connersville, indiana and board a train bound for Metamora. Metamora is a little historic town that has shops, working Grist Mill, horse drawn canal boat ride. Currently in talks with them on special pricing for the group.
GO KARTS - go karting park where we can race karts, they also have mini golf, haunted house and laser tag for those that want to shoot each other.
Children's Day - Indianapolis Children's Museum - Kids of all ages will enjoy this.
INDY 500 Track Day - no we can't drive our trucks on the track but we will / can ride a bus around the track. The museum is located at the Indianapolis 500 where Indy cars and NASCAR race.
Canoe Trip - where we can enjoy some of Indiana's scenery from the water.
This list will grow as time follows so check back and don't hesitate to tell me of ideas you have.
We will be having a pitch in for the community meal as we have had in the past. It seems that we won't have enough in head count to keep the cost down to what I feel is an acceptable level. Yes Rick was giving us a discount but there is a min cost and with the numbers that I'm showing at present it would just be too much for most I feel. So after much thought and pondering we will just continue with the Brotherhood Pitch in.
